and make something adorable today

Have you ever fallen in love with a fabric, bought it, and then completely forgotten where you found it? You go back to reorder — and it’s gone. The shop, the colorway, the designer. All of it. Just… gone. If that sounds painfully familiar, you need a fabric stash inventory system. And lucky for you, I have a free fabric stash inventory printable that will change the way you manage your entire collection. This post contains affiliate links.

A fabric stash inventory is a system for recording the details of every fabric, trim, and textile in your collection. It typically includes a physical swatch, the supplier name, colorway, yardage, and any other details you need to reorder or plan future projects. Think of it as a catalog for your sewing room.
Another option that I love, is using disc binder rings. That way there is a 360 degree rotation without a starting or ending point. This way I can always access any material quickly.

Whether you sew for fun or run a sewing business, keeping track of your fabric stash saves you time, money, and a lot of frustration. Here’s why a printable system works so well:

The system is simple enough to maintain consistently, which is the only way an organization system actually works.
I use the notes section to track which projects I’ve made with each fabric — so I can see at a glance what’s been used and what’s still waiting for the right project.
If you want to take your fabric organization even further, I also carry a Fabric Swatch Inventory Book in both composition-bound and spiral-bound formats. Each book contains 40 pages with 3 black fabric swatch sections — perfect for keeping a dedicated swatch library separate from your main binder.

It includes image insertion so you can attach a photo of each fabric directly to its row, plus multiple description columns to capture everything from fiber content and care instructions to supplier links and project history. It’s searchable, sortable, and accessible from any device.

What information should I track in a fabric inventory?
At minimum: fabric name/colorway, supplier, width, price per yard, and yardage on hand. A physical swatch glued to the record is the most useful addition — you’ll never confuse two similar fabrics again. Or, if you purchased the digital file – include a picture of the fabric swatch
How do I organize fabric swatches?
The easiest approach is to attach a small swatch to a printed inventory sheet and file it in a binder. You can organize sheets by color, fabric type, supplier, or project category — whatever makes the most sense for how you shop and sew.
If you use the digital product, you can easy search the file in seconds!
